The Benefits of a Virtual Office

by Pete on December 2, 2009

The term “virtual office” describes a variety of different situations, but it is most commonly accepted to be a way of completing traditional administrative work in a non-traditional environment. If you are a business owner whose employees spend most of their day typing, answering phones, or creating reports, you may be able to save money and make your company more efficient by creating a virtual office. You will save money by not having to rent office space. If your employees are working from home, there will be no reason to have a central office, and if there is, it can be much smaller than if you were housing a team of employees. Furthermore, you will not have to pay for traditional office supplies like cubicle walls and desks.

A virtual office can utilize the services of freelance workers. Even if you have steady employees, if they are freelancing, you will not have to pay medical benefits or vacation time. There is more flexibility with these employees, and you may even be able to employ more people with the money you save on benefits.

Your employees can come from a greater, more varied pool of people. If your company is located in England, and the perfectly qualified employee is in the United States, a virtual office may allow the two of you to work together. Additionally, your company may grow faster because it can offer customers a more global feel. Your products and services will appeal to a larger group of people if you are able to offer them the knowledge and service of people who are familiar with their language and culture.

When employees are working from a virtual office, you have no concerns about inclement weather, office politics, and sick employees spreading minor illnesses. If their children are ill, they will not have to leave work to pick them up or care for them at home. These conveniences not only benefit you as a business owner, it makes for happier, healthier employees.

Finally, depending on how you create your virtual office, you may not be responsible for paying for office equipment like computers, printers, ink, and copiers. Some virtual office managers still supply their employees with equipment, but if you are using the services of freelancers, this is typically not the case. Requiring employees to supply their own equipment saves you money, and in some cases, allows you to pay them a higher wage. If a freelance employee is working for other clients besides your company, they may be more than happy to use their own equipment.

There are numerous benefits to creating a virtual office for your company. If you are facing the prospect of downsizing, or just looking for a creative way to run a business, consider a virtual office.

The major advantage of hiring a Virtual Personal Assistant instead of hiring a regular office worker is that it comes out cheaper for the company. Although virtual assistants charge different rates per hour depending on the service, what makes having a virtual assistant cheaper than having a regular office worker is the savings that the company gains from the office space, office equipment, health insurance, training costs and other expenses related to hiring, managing and maintaining a regular office worker.

It really is cost-effective to sublease virtual office space from an established company or practice that has rented a vast amount of office space, but are only filled to 50% capacity due to cutbacks and layoffs. It helps the company/practice that is subleasing to recoup some of their overhead costs while it helps the upstart business and/or company who wants to test a new market.
